CRITERIA FOR PREPARING ABSTRACTS

IMPORTANT: Please create your abstract using MS Word (.doc Word Documents only; Word version 93-2003 only) and follow the dimensions and instructions in item #3 below. You must submit your abstract as instructed in the online residents/fellows registration information. You will be asked to upload your abstract (.doc) document during your registration process. However, using your email address and RegOnline password, you may return to your registration and upload or change your abstract at later time. Of note, both your registration and your abstract must be submitted (in final form) by the February 19th, 2010 deadline.

Before preparing your abstract, please read each of the seven criteria carefully. Then as you begin to finalize your abstract, you may wish to check with your preceptor and also use the criteria as a checklist to confirm that your abstract meets the required abstract format. Abstracts that do not meet criteria will be returned.

Complete the abstract portion of information on the online registration form. NOTE: You will need the following for registration; your abstract title, your abstract platform category, your abstract key words, IRB information and your completed abstract word document file (named according to the rules). It must be a .doc file to be uploaded.

Remember to include the platform presentation category letter/number and your keywords for the index.

  1. ABSTRACT FORM
    The entire abstract, which includes the heading sequence (see #5 below) and text, should be approximately 250 words. However it must be no longer than 1750 characters (including spaces). Abstracts must be typed using MS WORD and submitted as instructed in the online Residents/Fellows registration information.

    • Times or Times New Roman ONLY
    • SIZE: 12pt

  3. FORMAT
    • Please set the following margin dimensions in MS Word when preparing your abstract:
    • Top 2.5", Bottom 2.5", Left 3.75" and Right 0.75". These margins will keep your text within the allowable dimensions.
    • NOTE: Please turn off all automated features: ie: hyphenation, indentation, and/or other automated text correction functions in word. This should be a text only document.
    • DO NOT USE THE TRACK CHANGES FEATURE – it will corrupt your text during translation.
    • Please name your file using your Presentation Platform Category Letter/Number and your Last Name, (ie: B3Jones.doc)
    • Abstracts will be rejected for non-compliance of any rule.

  4. SINGLE SPACED TYPING
    • The text should be a single paragraph starting with a tabbed indentation. Use only standard abbreviations, like IRB, HIV, etc.
    • DO NOT use hard returns with the exception of (one) between the heading sequence and abstract paragraph.
    • DO NOT justify the text.
    • DO NOT use UPPERCASE, underlines, trademark (®) symbols, superscript, subscript, or hyphen-ation in body of text, as they may be lost during the translation of the text.
    • Please make sure you DO NOT use templates or special formatting options in MS WORD and turn OFF the hyphenation option.

  5. HEADING SEQUENCE
    • * NOTE: The heading sequence must be no more than 250 characters (including spaces), which is approximately 25-30 words.
      Your TITLE must be no larger than 150 characters (including spaces).
    • Title completely capitalized (ALL CAPS) and NOT indented; short, specific titles are desirable, followed by your Platform Presentation Category Letter/Number, ie: (B3).
    • Author format: FIRST name, LAST name; omit title(s) and degree(s).
    • INSTITUTION where residency is offered followed by the city and state of the institution (abbreviated) (OMIT street address and zip code.)
    • Author's EMAIL address in parenthesis, ie: (jjones3@chw.org)
    • IRB status: Indicate – (IRB Approval is...pending, received, or not needed-no human subject data)
    • DO NOT mention source of funding.
    • Example:
      A RETROSPECTIVE ANALYSIS OF LONG TERM OUTCOME OF DAPTOMYCIN FOR TREATMENT OF OSTEOMYELITIS (A1), Jenana Halilovic, Cinda Christensen. UC Davis Medical Center, Sacramento, CA (jenana.halilovic@ucdmc.ucdavis.edu) IRB approval pending.

  6. ABSTRACT CONTENT
    • This content is a one paragraph statement; please see the abstract sample for guidelines. Please do NOT use hard returns.
    • Objective - a one-sentence statement of the study's specific objective (unless it is contained in the title.)
    • Methods - a brief statement of the methods.
    • Results - a summary of the results presented in sufficient detail to support the conclusion.
    • Conclusion - a statement with the conclusion reached (It is satisfactory to state, "The results will be discussed," or, "Other data will be presented".)

  7. PROOF YOUR COPY CAREFULLY
    • Abstracts will be printed directly from the text you submit.
    • Check spelling, grammar, hyphenation, etc.
    • Prepare a sample copy of your abstract within the above dimensions.
    • Proof your copy carefully and upload your file online using the RegOnline registration system by February 19, 2010 per the instructions provided in the online Residents/Fellows registration information.

NOTE: Any registrations and/or abstracts received after the February 19th deadline will be subject to the $150.00 late fee and will be scheduled after those received prior to the deadline as space is available.
