FAQ’s - FREQUENTLY ASKED QUESTIONS

• ABSTRACTS
  1. I would like to request a specific day or time to present. Is that possible?
     Unfortunately, presentations are scheduled by topic and institution, so we are unable to alter day or time.
  2. Can I submit/present more than one abstract/topic?
     WSC does not have space for more than one presentation per resident/fellow.
     
     
  3. Can I update my abstract (after the deadline) prior to the Conference?
     NO, abstracts are final when registration closes as they are sent to the printer for layout.
• AUDIO VISUAL
  1. When can I practice my presentation?
     With the conversion to all LCD technology, no speaker ready rooms will be scheduled. You may wish to bring your own laptop for practice in your room.
  2. Must I put my PowerPoint presentation on a flash flash/thumb/USB drive?
     Yes, in the unlikely event that a file upload error does occur during the online PowerPoint file upload process, this is the only acceptable format for presentation transfers during the file reconciliation session. Additional all residents and fellows should bring a back-up copy of their presentation on a USB drive.
• DISABLED SERVICES
  1. Does Asilomar have disabled access?
     Yes, however, not all buildings do. Please contact the WSC office at (916) 447-0843 for further information and accommodations. We will work individually with you and Asilomar on your accommodations. Please note we need at least 30 days notice to prepare accommodations.
• FAMILY & GUESTS
  1. Can my family come along with me to WSC?
     Please be reminded that WSC is a professional/business meeting. Due to housing shortages WSC cannot provide accommodations or meals for family or guests.
  2. Can my family attend WSC Presentations?
     No, the Western States Conference is open by invitation only to participants, preceptors, and sponsors from participating organizations.
• HOUSING
  1. Can I request a specific roommate?
     Yes, however, we cannot guarantee that you will be assigned to room with them. We try our best to accommodate all requests based on the housing available at the time. Requests are a courtesy, not something we can guarantee. If you have a specific issue regarding housing or a roommate, please contact the conference office directly. (NOTE: IF you are a resident/fellow please see your preceptor.)
  2. Can my family come along with me to WSC?
     Please be reminded that WSC is a professional/business meeting. Due to housing shortages WSC cannot provide accommodations for family or guests.
  3. What happens if I DO NOT wish to room with a specific person?
     We cannot guarantee who your roommate will be; however you can request to room with specific people on your registration form. In cases of personal conflict, please email us directly at wsc-rx@cshp.org, noting SPECIAL REQUEST in the subject box.
     
• MEALS
  1. Can I request special meals?
     Yes, we have 2 choices available for you, Vegetarian or Regular; please indicate your preference on your registration form. If you do not complete this section you will be assigned regular meals. If you have other specific needs such as kosher meals or specific allergies, please email us at wsc-rx@cshp.org . There may be an additional fee per day for special requested meals.
  2. I will not be eating on-site at Asilomar, can you deduct the meals from my registration?
     No, Asilomar classifies WSC as a three day, nine meal conference. We are unable to reduce rates due to meal consumption or days of attendance.
• REGISTRATION
  1. Can I register late?
     Asilomar requires our final count and a guarantee 60 days in advance of the conference. We will accept late registration on a space available basis; however, a $150.00 additional fee for late registrants will be applied to your registration fee. Please contact the WSC office at (916) 447-0843 for further details.
  2. When is the last day to cancel registration?
     March 12, 2010 is the last day to cancel your registration and receive a refund. Please note a $150.00 administration fee will be deducted from your registration when you receive your refund. Refunds will be processed after the Conference, unless we are able to re-sell your registration to a guest on the waiting list.
  3. After March 12th, 2010- all registration fees are forfeited, and no refunds will be issued.
  4. What if I can't attend and the deadline to cancel has passed?
     Preceptors and Sponsors may send someone in their place provided they are of the same gender (if sharing a room) and that they notify WSC with the change. All changes must be made in writing and submitted to WSC no later than 10 days prior to the Conference.
• RESTAURANTS
  1. We would like to go out to dinner the last night of WSC, can you suggest a restaurant?
     Due to the nature of the Conference, we request that our attendees plan offsite dinners the last evening to avoid conflicts of assigned duties. Please see the links page of our website. We have provided many links to assist you. It would also be wise to make reservations well in advance for large groups.

  1. We need directions and or transportation to Asilomar?
